Managing Submissions

Learn how to view, manage, and export form submissions in NexusForm.

  1. Open NexusForm from your Shopify Apps
  2. Click Submissions in the navigation
  3. View all submissions across all forms

The submissions list shows:

FormWhich form was submitted
SubmittedWhen the submission was received
EmailSubmitter’s email (if collected)
NameSubmitter’s name (if collected)
StatusProcessed/Unprocessed indicator
  1. Click the Form filter dropdown
  2. Select a specific form
  3. List updates to show only that form’s submissions
  1. Click the Date filter dropdown
  2. Choose a preset range:
    • Today
    • Last 7 days
    • Last 30 days
    • Last 90 days
    • All time
  1. Use the search box
  2. Search by email or name
  3. Results filter in real-time
  1. Click on any submission row
  2. Opens detailed view showing:
    • All submitted field values
    • File attachments (if any)
    • Submission metadata (IP, timestamp, user agent)

For forms with file uploads:

  • Files are displayed as links
  • Click to download/view
  • Images show thumbnails

Click column headers to sort:

  • Date - Newest first (default) or oldest first
  • Form - Alphabetically
  • Email - Alphabetically

Select multiple submissions for bulk actions:

  1. Check the box next to each submission
  2. Or use “Select all” checkbox in header
  3. Selected count appears in toolbar

  1. Select submissions to delete
  2. Click Delete in bulk actions toolbar
  3. Confirm the deletion
  4. Submissions are soft-deleted (recoverable by support if needed)
  1. Select the submissions you want
  2. Click Export in bulk actions
  3. Choose format (CSV or JSON)
  4. Download begins automatically
  1. Click Export without selections
  2. Choose to export all or filtered results
  3. Select format
  4. Download the file
  • Opens in Excel, Google Sheets
  • One row per submission
  • Columns for each field
  • Best for spreadsheet analysis
  • Structured data format
  • Preserves nested data
  • Best for developer use

Exports include:

  • Submission ID
  • Form name
  • Submitted timestamp
  • All field values
  • Submitter email/name
  • IP address (if collected)

Click a submission to see full details:

  • Form name
  • Submission timestamp
  • Quick actions (Delete, Mark as processed)

All submitted data organized by field:

Full Name: John Smith
Email: john@example.com
Message: I have a question about...
Subject: Product Inquiry
  • List of uploaded files
  • Click to download
  • File size and type shown

Technical information:

  • Submission ID
  • IP Address
  • User Agent (browser info)
  • Processed status

Mark submissions as processed to track which ones you’ve handled:

  1. Open submission details
  2. Click Mark as Processed
  3. Status changes to “Processed”
  1. Use the status filter
  2. Show only unprocessed submissions
  3. Helps manage your workflow

Depending on your plan, you may have submission limits:

PlanMonthly Submissions
Free50 submissions
Starter500 submissions
ProUnlimited

You’ll see a warning banner when nearing your limit.

When limit is reached:

  • New submissions are still saved
  • Banner prompts upgrade
  • Consider upgrading or exporting/deleting old submissions
  • Submissions are retained indefinitely
  • Deleted submissions are soft-deleted
  • File uploads stored securely
  • Export data before deleting if needed
  1. Check submissions regularly
  2. Mark processed submissions
  3. Export important data
  4. Delete outdated submissions

For forms with many submissions:

  1. Set up email notifications
  2. Export regularly
  3. Use filters to find specific entries
  4. Consider integrations for automation
  1. Only authorized staff should access
  2. Export to secure locations
  3. Don’t share export files insecurely
  4. Delete sensitive data when no longer needed
